Controller and contact

Information and purpose

When you contact us, we process your name, email address, selected area of interest and message, plus subsequent correspondence. Required fields enable us to receive and respond to your request; without them the form cannot be submitted. You can contact us by telephone instead. An enquiry does not require either party to enter into a contract.

We store form submissions in the controller’s secured database to receive and process your enquiry. Message contents, contact information and internal notes are encrypted in the database and available only to the authorised administrator through authenticated administration. After saving the enquiry, we attempt to send an email notification over an encrypted connection to info@raventiq.cz, our corporate mailbox at Seznam Email Profi. The enquiry remains saved if the notification fails. Message contents are not stored in operational logs. Please do not include passwords, payment details or sensitive personal information.

Legal basis

Where an individual requests steps before entering into their own contract, processing is based on Article 6(1)(b) GDPR. Other relevant correspondence is based on Article 6(1)(f), our legitimate interest in responding to enquiries and handling business communications. Website security and preventing abuse are separate legitimate interests; we therefore process technical request data and limited form protection records. We briefly process the request IP address for security verification and rate limits, storing only a derived pseudonymous identifier in protection records.

An enquiry does not subscribe you to a newsletter. This website does not make automated decisions producing legal or similarly significant effects.

Retention

Form submission records and their ordinary backups are kept for no longer than 12 months from receipt. The application removes active records earlier and ordinary protected backups expire within 7 days to remain within this limit. Ordinary subsequent email correspondence is kept for up to 12 months after resolution. If correspondence leads to a contract or is required for a documented legal claim, only necessary records are retained separately for the justified period.

Pseudonymous form protection and deduplication state remains valid for up to 23 hours and is physically removed by hourly cleanup, ordinarily within 24 hours. It contains neither the message text nor plain email or IP addresses. Application logs contain only technical error codes; we do not retain IP-based access logs for this website. These application-specific periods do not cover independent technical records of email or hosting providers.

Recipients and service providers

Authorised personnel have access to messages. Seznam.cz, a.s., company registration number 26168685, provides Email Profi corporate email. Server hosting uses FORPSI infrastructure operated by INTERNET CZ, a.s., company registration number 26043319. The controller’s authorised personnel manage technical operation.

The controller manages the database and ordinary protected backups on FORPSI infrastructure. Backups contain encrypted records and are accessible only to authorised personnel; the encryption key is kept separately. Deletion from the active database does not automatically delete mailbox copies; these are removed under the stated retention periods and the actual operation of the email service. You can request details about recipients, contractual safeguards and any transfers outside the European Economic Area at info@raventiq.cz.

Editorial administration

Only the authorised administrator can access the editorial interface. To secure access, we process the administrator’s username, a securely derived password hash and a temporary login session. Passwords are not stored in plain text. A session lasts for up to 8 hours and also expires after 30 minutes of inactivity.

Login and editorial activity records are kept for up to 90 days to secure and review website administration. They contain the event type, time and edited document or enquiry identifier, without plain IP addresses or visitor enquiry contents. Content history supports recovery of previous page versions.

Your rights

Subject to GDPR conditions, you may request access, rectification, erasure, restriction and, where applicable, portability. You may object to processing based on legitimate interests. Send requests to info@raventiq.cz. You may lodge a complaint with the Czech Office for Personal Data Protection (uoou.gov.cz). Identity is verified proportionately to prevent disclosure to another person.
